What we collect, why, and the control you have over it.

This site is run by Zeta Beta Xi, an independent local fraternity at SUNY Geneseo ("we," "us," "ΖΒΞ"). This policy explains how we handle personal information on zetabetaxi.com. Questions, or want your information changed or removed? Email zbxi.web@gmail.com.
1. Who this covers
This policy applies to brothers and prospective brothers who create an account or use the members area of zetabetaxi.com. The public pages of the site can be viewed without giving us any personal information.
2. What we collect
Information you give us
- Account details — your email address and a password. Passwords are stored in a securely hashed form by our authentication provider; we never see or store the plain text. You may also turn on two-factor authentication (2FA).
- Profile details you choose to add — such as your name, graduation year, pledge class, city, occupation, employer, industry, major, skills, a LinkedIn link, a photo, and whether you are open to mentoring, hiring, or connecting.
- Content you post — gallery photos and captions, board posts and comments, and mentor or "connect" requests. When you send a mentor or connect request, the brother you reach out to receives your name and email so they can reply.
Membership records
As a fraternity, we keep a roster and family tree of our brothers — names, pledge class, and lineage — including brothers who have not created an account. This is our historical membership record. It is visible only to signed-in, approved brothers, never to the public. If you are listed and want to be removed, see Section 6.
Information collected automatically
- Sign-in token — to keep you logged in, a session token is stored in your browser's local storage. It is essential to the site working and is not used for advertising.
- Security & anti-abuse data — to protect sign-in and sign-up from bots, we use Cloudflare Turnstile, which may process limited technical signals from your browser.
3. How we use your information
- To run the members-only directory, family tree, and networking features.
- To create and secure your account, including 2FA and email verification.
- To let brothers find and contact one another for mentorship, referrals, and reunions.
- To send you account-related email (verification, password changes, notifications).
- To keep the site secure and prevent abuse.
We do not sell your personal information, and we do not use it for third-party advertising.
4. Who can see it, and who we share it with
Your profile and the roster are visible to signed-in, approved brothers only — not to the public or search engines. Beyond that, we share information only with the service providers that make the site work:
- Supabase — our database, sign-in, and file storage provider.
- Cloudflare — website hosting/delivery and the anti-bot check.
- Resend — delivery of our account-related emails.
These providers process data on our behalf under their own security and privacy commitments. We may also disclose information if the law requires it, or to protect the safety and rights of our brothers.
5. How long we keep it
We keep your account and profile information for as long as your account is active. Membership records (including entries for brothers who never signed up) are kept as part of our historical record until removal is requested. When you ask us to delete your account or a record, we remove it promptly, except where we must keep something to meet a legal obligation.
6. Your choices and rights
You are in control of your information. You can:
- Edit or delete your profile at any time from My Profile.
- Request a copy of the personal information we hold about you.
- Delete your account entirely.
- Ask to be removed from the roster or family tree — including if you never created an account and simply do not want to be listed.
To make any of these requests, email zbxi.web@gmail.com — or use the button below, which opens a pre-filled email so you just fill in your name and hit send. We will take care of it. Depending on where you live, you may have additional rights under laws such as the California and EU privacy rules; we honor these requests regardless of where you live.
7. How we protect your information
We protect your data with encryption in transit (HTTPS), securely hashed passwords, optional two-factor authentication, email verification, bot protection, and access rules that keep member data limited to approved brothers. No online service can promise perfect security, but if a data breach ever affects your information, we will notify you and the appropriate authorities as required by law.
8. Cookies and browser storage
We do not use advertising or third-party tracking cookies. We use only strictly-necessary browser storage — chiefly the sign-in token described above, and your saved light/dark theme preference. Because these are essential to the site, no consent banner is required; if we ever add analytics or tracking, we will update this policy and ask for consent where required.
9. Children
This site is intended for fraternity members and prospective members who are 18 or older. It is not directed to children, and we do not knowingly collect information from anyone under 18.
10. Changes to this policy
We may update this policy from time to time. When we do, we will change the "Last updated" date above, and significant changes will be communicated to signed-in brothers.
